Your files remain your files.

Houston uses working files to provide an agreed version-tracking service. Ownership stays with the customer, access is agreed and uncertainty remains visible.

A clear basis for working together.

Ownership

Customers retain ownership of the files and data they provide. Supplying a file for version tracking does not transfer ownership to Praxis Lab.

Purpose

Files are used to provide the Houston service: configuring tracking, running version reviews and examining the agreed results.

Original evidence

Houston does not silently edit original files. The original versions remain the evidence behind a review.

Human access

Praxis will only inspect customer files when access has been agreed, such as during founder-supported onboarding or an agreed review.

Product learning

Any optional access for product learning must be explicit. Declining it does not prevent private use of Houston.

Deletion

Customers can request deletion of their files and related service data by contacting Praxis Lab.

Who is responsible for your information.

Applied Praxis Limited, company number SC891275, trading as Praxis Lab, is the controller for personal information collected through the Houston enquiry form.

What is collected, and why.

Information you provide

Name, email address, business, the kind of spreadsheet you want to use, how often a new version is created or received, what usually needs checking, anything else you choose to provide, and the originating Houston page. It comes directly from you.

Purpose

Praxis uses this information to respond, assess whether Houston and the founding user programme are suitable, arrange a requested next step and protect the enquiry service from abuse. It is not added to an unrelated marketing list.

Lawful basis

Praxis relies on legitimate interests to respond to expected business enquiries and operate a secure service. Where you ask Praxis to take steps towards a contract with you personally, those pre-contract steps may also provide the lawful basis.

Security information

The service creates a keyed, one-way hash from the submitting address for rate-limiting. The raw address is not stored in the enquiry database, and the hash expires after one hour.

Is it required?

Providing information is not a statutory or contractual requirement. The fields marked as required are needed if you want Praxis to understand and respond to the application.

Automated decisions

Praxis does not use application information for solely automated decisions or profiling that has legal or similarly significant effects.

Storage, recipients and retention.

Where it is stored

Enquiries are stored in a private database hosted in the European Union. The database is not publicly accessible and the form does not accept spreadsheet uploads.

Who may receive it

Access is limited to authorised Praxis personnel and infrastructure providers acting on Praxis’s instructions. Information may also be disclosed where required by law or to professional advisers under duties of confidentiality. Praxis does not sell enquiry information.

International transfers

The enquiry database and its deployment backups remain within the European Economic Area. If a later service arrangement requires a transfer outside the UK or EEA, Praxis will use an applicable UK adequacy regulation or appropriate safeguards and provide further information where required.

How long it is kept

Enquiries are deleted automatically from the active database and every retained database backup once they reach 90 days. Deployment database backup files are also deleted after 90 days. One-hour rate-limit hashes expire separately and are not retained in deployment backups. A confirmed deletion request removes the matching enquiry from the active database and retained backups.

If an enquiry becomes a customer relationship, information needed for the contract, accounts or legal obligations may be retained under the terms applicable to that relationship.

Do not send confidential working files through the public form or ordinary email unless an appropriate transfer method has been agreed.

Your information rights.

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction of its use or portability. You can make a request by emailing gs@praxis-lab.co.uk. These rights are not always absolute, and Praxis will explain if an exemption applies.

Your right to object

You may object to processing based on legitimate interests. You have an absolute right to object if personal information is ever used for direct marketing.

If you are dissatisfied, please contact Praxis first so the concern can be addressed. You also have the right to complain to the UK Information Commissioner’s Office through its complaints service.

The founding programme in plain terms.

Houston is initially available to three founding businesses through a supported three-month programme. Each accepted business receives three months of free access and direct support from Praxis Lab for one agreed initial spreadsheet use case. In return, founding users agree to use Houston regularly, share candid feedback and take part in occasional feedback conversations.

Houston is expected to cost from £100 per month after the founding period. Joining the programme does not commit you to continuing.

At the end of the programme, a founding user may stop using Houston or discuss continuing as a paying customer. There is no obligation to continue.

Houston brings changes and uncertain matches forward for human review. It does not make operational decisions, replace the customer’s source files or guarantee that every spreadsheet error will be found.

Private use remains available.

Praxis access must be agreed. Any optional access for product learning must be explicit, and declining it does not prevent private use. Customers can request deletion of their data.
